FAQ – RESEARCH UNIVERSITY & IMPACT DIVISION (RUID)

APC Payment Method :

1. Based on the specified payment limit.
2. Through the reimbursement process.
3. Ensure that Publication Fee has been stated in the original proposal (approved by sponsors) and has sufficient funds in B29000.
4. Please refer to the latest edition of Journal Citation Reports (JCR) published by Clarivate Analytics. The quartile ranking used for the claims is based on the position of JCR Impact Factor. Please select the highest quartile ranking in the JCR journal category.

Names of applicants must be listed in the list of authors to qualify for APC claims.

Supporting documents that are to be prepared for (APC):

1. Abstract/Full article
2. Evidence of article or journal indexing in WOS/SCOPUS/ERA
3. Article Acceptance Letter or Receival Letter from the publisher
4. Receipt/Bills

Claims must be made within the duration of three (3) months after APC payment has been made.

The application only involves research grant data. For MyRA data, it is limited to audited data and is solely for internal use.

The format during the application needs to be detailed with the data requirements and necessary format.

Data requests for MyRA and Research Grant will be processed within 2-5 working days, depending on the data capacity and necessary format.

Data requests can be made online at https://registrar.utm.my/mohondata through University Data Management Centre, Registration Department as the alternate source to obtain comprehensive data.

MyRA is an abbreviation for Malaysia Research Assessment (MyRA). MyRA used to monitor performance and assess capabilities of Higher Education Institutions (IPT) in research.

MyRA’s method to evaluate institutional performance and achievement in research:

1. MyRA’s evaluations are conducted according to Sections. There are eight (8) Sections in MyRA which are: Section B – Researchers Quantity & Quality (MyRA I = 22 marks; MyRA II = 13 marks), Section C – Research Quantity & Quality (MyRA I = 30 marks; MyRA II = 35 marks), Section D – Postgraduate Quantity & Quality (MyRA I = 15 marks; MyRA II = 10 marks), Section E – Innovation (MyRA I = 10 marks; MyRA II = 15 marks), Section F – Professional Service and Awards (MyRA I = 7 marks; MyRA II = 10 marks), Section G – Networking & Coverage (MyRA I = 13 marks; MyRA II = 14 marks) and Section H – Support Facilities (MyRA I & MyRA II = 3 marks).

Request for MyRA data can be made at  https://researchsupport.utm.my/

UTM needs to achieve at least 100 Marks in MyRA I & 75 Marks in MyRA II to maintain its status as a Research University.

MyRA achievements also influences the Distribution of Funds for the Research University.

MyMoheS is a system used by the Ministry of Higher Education (KPT) in collecting data from all IPTA related to Staff, R&D, Students and Institutional Information. These data is then stored in a data warehouse.

The authority for the implementation of MyMoheS is derived from Administrative Circular Number 2 in 2009 of the Ministry of Higher Education and Data Management Circular Ministry of Higher Education Number 1 in 2016 has provided guidelines and directives to IPTAs for the implementation and provision of data for this system.

The objective of implementing MyMoheS is to facilitate the Ministry of Higher Education (KPT) in accessing local data related to public universities (IPTA) and facilitate reporting to the Minister along with other important parties without the need for frequent data requests from each IPTA.

Four (4) main modules for MyMoheS :

 • Module 1: Student – 23 data format
 • Module 2: Staff – 19 data format
 • Module 3: Research, Consultation dan Commercialization (R,D & C) – 29 data format
 • Module 4: Institution – 37 data format

Two (2) main reference documents in the preparation of MyMoheS data format are:

  1.  Research and Consultancy Data Format (Document No. : KPT_CD_002)
  2. Reference Code for Research, Consultancy, and Commercialization (Document No. : KPT_SL_002)

A total of 17 data fields (Rd1) need to be completed before submitting to MyMoheS through the e-Anjung system.

MyMoheS allows IPT parties to upload research titles in Arabic/ Jawi writing.

The change to research date data depend on:

  1. deadline for final report submission for the research has ended.
  2. Final research date.
  3. Estimated date if the research is still ongoing.
  4. Date of changing the status to Sick Project, Troubled Project, Suspended Project.

The research status that are taken into account in MyMoheS :

1. Finished – The final report has been completed, fulfilling the requirements of the sponsoring agency, and the surplus funds have not been returned yet.

  1. Ongoing
  2. Suspended
  3. Problematic – From a research perspective. Example: Not achieving objectives (University will be alerted to address the issue).
  4. Terminated – Not continued/ Cancelled
  5. Sick Project – Example: Over Budget, Researcher’s Health Issues, Physical, Equipment
  6. Completed (period of not submitting the report has ended)
  7. Completed (Project Closure) – The project has been completed, and surplus funds have been returned to the sponsoring agency.

For internal researchers, a total of six (6) data fields RD1-1 are to be completed before submitting to MyMoheS through the e-Anjung system.

Internal researchers are information about researchers/students who are working/studying at the university who receive research funding for the respective research project.

For external researchers, a total of nine (9) data fields RD1-2 are to be completed before submitting to MyMoheS through the e-Anjung system.

External researchers refer to information on the researchers that are conducting research collaboratively with researchers at the university that receives research funding for the respective research project.

For external researchers, a total of nine (9) data fields RD1-2 are to be completed before submitting to MyMoheS through the e-Anjung system.

External researchers are information about researchers conducting research in collaboration with researchers at the university that receives research funding for the respective research project.

For publication data, a total of fourteen (14) data fields RD2 are to be completed before submitting to MyMoheS through the e-Anjung system.

MyMoheS allows IPT parties to upload publication titles in Arabic/Jawi writing.

For data on the names of book authors and chapters in the book, a total of nine (9) data fields RD2-1 are to be completed before submitting to MyMoheS through the e-Anjung system.

For publication data – Journal Articles, a total of 18 data fields RD3 are to be completed before submitting to MyMoheS through the e-Anjung system..

MyMoheS considers all forms of ISBN numbers. For example, E-ISBN.

For data on Journal Article Authors, a total of Five (5) data fields RD3-1 are to be completed before submitting to MyMoheS through the e-Anjung system.

For data on journal article authors, the name field for authors is limited to one author only. If there are more than one author, please fill in the information on a new line.

For data on Publications in Proceedings (Seminars/Conferences/Workshops), a total of 22 data fields (RD4) are to be completed before submitting to MyMoheS through the e-Anjung system.

Publication in proceedings refers to seminar papers and so on, that have been published in the form of proceedings only, are to be submitted to MyMoheS.

For Individuals Involved in Proceedings (Seminars/Conferences/Workshops), a total of six (6) data fields (RD4-1) are to be completed before submitting to MyMoheS through the e-Anjung system.

For general publication data, a total of fourteen (14) data fields (RD5) are to be completed before submitting to MyMoheS through the e-Anjung system.

General publication refers to publications other than books, journals, or proceedings that need to be submitted to MyMoheS.

Individuals Involved in General Publications need to complete a total of 14 data fields (RD5) before submitting them to MyMoheS through the e-Anjung system.

For Research Grant Expenditure data, a total of four (4) data fields (RD7) are to be completed before submitting to MyMoheS through the e-Anjung system.

Only the Malaysian Ringgit value needs to be submitted to MyMoheS for research grants.

For Recognition (Expo/Exhibition Participation) data, a total of twelve (12) data fields (RD8) are to be completed before submitting to MyMoheS through the e-Anjung system

For individuals who receive recognition (Expo/Exhibition Participation), a total of four (4) data fields (RD8-1) are to be completed before submitting to MyMoheS through the e-Anjung system.

For Individuals who Receive Recognition (Expo/Exhibition Participation), the name field for Recipients is limited to one recipient. If there is more than one recipient, please fill in the information on a new line. 

For Intellectual Property data, a total of twelve (12) data fields (RD9) are to be completed before submitting to MyMoheS through the e-Anjung system.

For Intellectual Property (Changed) data, a total of eleven (11) data fields (RD9A) are to be completed before submitting to MyMoheS through the e-Anjung system.

For the Name of the Intellectual Property Owner data, a total of seven (7) data fields (RD9-1) are to be completed before submitting to MyMoheS through the e-Anjung system.

The intellectual property owner can consist of the complete names of an individual, institution or company before being submitted to MyMoheS via the e-Anjung system.

For Commercialization data, a total of seventeen (17) data fields (RD10) are to be completed before submitting to MyMoheS through the e-Anjung system.

MyMoheS allows one product to be commercialized by multiple companies. 

For Commercialization (Changed) data, a total of nine (9) data fields (RD10A) are to be completed before submitting to MyMoheS through the e-Anjung system.

For Consultancy data, a total of eleven (11) data fields (RD11) are to be completed before submitting to MyMoheS through the e-Anjung system.

For Consultancy (Changed) data, a total of three (3) data fields (RD11-A) are to be completed before submitting to MyMoheS through the e-Anjung system.

For data on Consultants, a total of six (6) data fields (RD11-1) are to be completed before submitting to MyMoheS through the e-Anjung system.

For Publication data – Journal Articles, a total of fourteen (14) data fields (RD13) are to be completed before submitting to MyMoheS through the e-Anjung system.

The total citations received are within the last 5 years for ALL PUBLICATIONS produced by the institution until the assessed year. For journals that are listed in ERA, citation count using Google Scholar can be utilized.

For data on Policy Papers, a total of five (5) data fields (RD14) are to be completed before submitting to MyMoheS through the e-Anjung system. 

Data on Policy Papers refers to policy documents that have been presented to Technical/Steering Committees and accepted by stakeholders, either government or private agencies (besides the evaluated institutions). 

For individuals involved in Policy Papers, a total of four (4) data fields (RD14-1) are to be completed before submitting to MyMoheS through the e-Anjung system

For Technology Know-How Licensing data, a total of twelve (12) data fields (RD15) are to be completed before submitting to MyMoheS through the e-Anjung system.

“Know-How Licensing” refers to the licensing of new knowledge technologies. This includes proprietary information in the form of intellectual property, creations, formulas, designs, drawings, procedures, and methods accumulated by academic staff from the licensing institution that can assist the license holder in product/process development.

For data on Individuals Involved in Technology Know-How Licensing, a total of four (4) data fields (RD15-1) are to be completed before submitting to MyMoheS through the e-Anjung system

For RD16 format: Gift, a total of six (6) data fields (RD16) are to be completed before submitting to MyMoheS through the e-Anjung system.

“Gift” refers to the total value of contributions from external parties to the university which comes in the form of money, equipment, research materials, and facilities (infrastructure and services).

The category/amount categorized as a gift is the total value of gifts amounting to RM 3,000.00 and above in the respective year and is not cumulative for research purposes categorized as gifts. 

International Grant Application :

  1. Applicants can submit a complete application document to the Corporate Unit, External Relations and Research Impact by sending an email to international scouting.rmc@utm.my
  2. The application will be reviewed and submitted to the RMC Director.
  3. Supported applications will be emailed back to the applicant within 2-3 working days.

UTM will be providing matching grants to researchers for international grant applications.

Applicants are required to submit a complete application document (proposal) to Corporate Unit, External Relations and Research Impact where it will be assessed by a panel at UTM.

The assessment results will be presented at the JKPGP Meeting, and the approval decision will be made by the members of the meeting, initiating the grant matching process.

The matching grant allocation approval amount for international grants is determined by the outcome of the JKPGP meeting. The approved allocation depends on the evaluation of the proposal and the financial position of the university.

Project Management of International Research Grant :

  1. From grant registration to the verification of Final Report is under the responsibility of the Project Management & Monitoring Section.
  2. Corporate Unit, External Relations and Research Impact are only tasked with disseminating information on grant initiation to researchers and organizing proposal writing workshops by inviting other researchers who have previously received the grant for the purpose of coaching sessions.

Publications that are eligible to claim the Article Processing Charge are Journal Articles that have been indexed in WOS/SCOPUS/ERA, and the claim can only be made once for each article.

Applications must include ‘Universiti Teknologi Malaysia’ as one of the affiliation in the article. If absent, the application will be rejected.
